Dear Staff:

Provided below is important information regarding H1N1 flu, the upcoming seasonal flu shot clinic, and opportunities for updating your personal and emergency contact information through WIN. Please take a few moments to review this message in its entirety.

H1N1 AND SEASONAL FLU UPDATE:
As part of our continuing efforts to communicate the latest news and efforts regarding the H1N1 flu virus, Wake Forest has launched a new H1N1 website at http://www.wfu.edu/h1n1flu/. Along with other details, the site offers new dates for seasonal flu vaccine clinics for faculty and staff, details on the status of the flu here on campus and in our community, preventive information, and links to web-based resources on the H1N1 virus. Included in the Information for Faculty and Staff section of the H1N1 website is a link to HR-related information and resources, including leave-related policies and forms and benefits contact information. To access this information directly, go to http://www.wfu.edu/hr/hrh1n1/. Both of these sites will be updated regularly.

UPCOMING SEASONAL FLU SHOT CLINIC:
In order to accommodate an earlier flu season this year, we have moved up the dates for our annual seasonal flu clinic. The updated schedule is as follows:

Tuesday, September 29, 9 am - 4 pm, Benson 401 A & B
Wednesday, September 30, 9 am - 4 pm, Benson 401 A & B
Thursday, October 1, 11 am - 4 pm, Worrell, Room 3209

Faculty and staff do not have to be a participant in the Blue Cross Blue Shield plan to receive the vaccine, but members will need to bring their BCBS ID cards. Registration is available through the Professional Development Center (PDC). To register, please go to http://pdc.wfu.edu/course/154.

When the H1N1 vaccine becomes available, we will provide further details on clinic dates and times.

UPDATING PERSONAL AND EMERGENCY CONTACT INFORMATION:
In order to ensure that you receive Wake Forest information in a timely manner, it is important that your personal and emergency contact information is up-to-date. Beginning this semester, Human Resources is implementing a process to review personal and emergency contact information for all faculty and staff. To help us with this, we will send out friendly reminders at the beginning of each semester.

Please review and update your personal and emergency contact information by performing the following steps:

1. Go to the WIN login page at: https://win.wfu.edu
2. After logging in, click on the Personal link at the top, right corner of the page.
3. Click on Your Personal Information.
4. After updating, if necessary, click Submit Changes.

Dear Staff,

The H1N1 influenza (flu) virus has been reported worldwide and health officials are preparing for an increase in cases during the arrival of flu season this coming fall and winter. The Centers for Disease Control and Prevention (CDC) has issued guidance to institutions of higher education for the 2009/10 academic year at: www.flu.gov/plan/school/higheredguidance.html. In support of this guidance, Human Resources offers the following suggestions to address health concerns that may arise.

Staff who are experiencing flu-like symptoms (a fever of 100°F or higher, cough, sore throat, runny or stuffy nose, body ache, headache, chills, unusual fatigue, diarrhea or vomiting) should remain home and away from work in an effort to avoid spreading illness to others. Those with flu-like symptoms should communicate directly and immediately with their supervisor, following established departmental procedures, and seek medical care from their primary care physician or Urgent Care clinic. Staff who contract the flu should refrain from returning to work until free of fever for at least 24 hours, per the CDC's guidance.

It is important to note that the seasonal flu vaccine — which will be offered on campus in October — is different from the H1N1 vaccine. All faculty and staff (not including spouses/partners or dependents) are encouraged to take advantage of the free seasonal flu vaccine.

  • On October 21st and 22nd, vaccine will be available in Benson 401 from 9:00 a.m.-4:00 p.m.
  • On October 23rd, it will be offered in the Law School 3209, from 11:00 a.m.-4:00 p.m.
  • Faculty and staff do not have to be a participant in the Blue Cross Blue Shield Plan to receive the vaccine, but members will need to bring their BCBS ID card.
  • Registration for the vaccine will be available through the Professional Development Center (PDC), and we will notify you once the PDC site is open for registration.

At this time, it is estimated that the H1N1 vaccine will be available in the fall — late October/early November. When it is available, Wake Forest University, in cooperation with the Forsyth County Health Department, will be a distribution site for the vaccine. Further details will be provided as they are available.

The Paid-Time-Off policy is in place to address the needs of staff in case of illness. Human Resources will work with managers and supervisors to address any need for flexible arrangements in the event of a significant level of influenza outbreak. Staff reporting to work with flu-like symptoms should be sent home and encouraged to seek medical attention.

Taking some basic precautions could help minimize exposure, and they include washing hands frequently with soap and water or hand sanitizer, covering noses and mouths when coughing or sneezing, and keeping desks and work spaces clean and sanitized.
