Letter from Vice President Ken Zick

October 2, 2007

Dear Reynolda Campus Faculty and Staff,

Since the unfortunate events at Virginia Tech last spring, Wake Forest's Crisis Management Team examined a range of improvements in our crisis management plan and response mechanisms. As a first step, to ensure that the University can reach you in times of emergency, mobile phone numbers are being collected and added to the University contact information.

As a faculty or staff member, you are not required to give this information. Undergraduate students were required to provide this information to us upon return to campus this fall. Graduate and professional school students will be required to provide this information in the coming days.

I ask that you strongly consider submitting your mobile phone number to us by October 12. You can do so online in WIN. Upon your log-in to WIN, a special screen will direct you through the process. You may update the number or the privacy status at anytime by choosing the Personal tab in WIN.

Out of respect for legitimate privacy concerns, Wake Forest will collect and retain the mobile telephone number in a secure system with restricted access. By default, your number will not be visible in the internal WIN directory or the University's public directory. You have the option to mark your number visible in the campus internal directory if you choose.

Only University Police, the President, the Provost, the Deans and University Vice Presidents or their designees will be allowed to use the numbers that are marked as private, and only in times of emergency. Examples of emergencies include but are not limited to: the injury, serious illness, or death of a family member or friend, the need to locate a missing campus member, the need to seek the assistance of a campus member in a criminal investigation, or the need to convey information about a health risk, fire, natural disaster, or threat to one's personal safety and security.

Sincerely,

Ken Zick
Vice President, Student Life
Crisis Management Team Leader
